These Terms & Conditions apply to all services, programmes, referrals, bookings, consultations and activities provided by Roots & Rhythm.

By accessing our services, submitting referrals, making bookings or engaging with Roots & Rhythm, you agree to these Terms & Conditions.

1. About Us

Roots & Rhythm is a therapeutic alternative provision supporting young people through relational, creative and nature-based learning.

2. Services Provided

Roots & Rhythm may provide services including, but not limited to:

  • therapeutic alternative provision;

  • mentoring and wellbeing support;

  • vocational and creative learning;

  • music-based activities;

  • nature-based and outdoor learning;

  • workshops and intervention programmes;

  • consultations and assessments.

Services are subject to availability, suitability and safeguarding considerations.

3. Referrals and Placements

All referrals and placements are considered on an individual basis.

Acceptance onto programmes or provision is subject to:

  • suitability assessment;

  • safeguarding considerations;

  • staffing and capacity;

  • and operational requirements.

Roots & Rhythm reserves the right to decline, suspend or terminate placements where:

  • needs cannot safely be met;

  • risk becomes unmanageable;

  • attendance expectations are repeatedly not met;

  • or safeguarding concerns require alternative arrangements.

4. Safeguarding

Safeguarding is central to all Roots & Rhythm activities and services.

By engaging with our services, users acknowledge that:

  • safeguarding procedures and risk assessments may apply;

  • safeguarding concerns may be shared with appropriate agencies where necessary;

  • confidentiality may be overridden where there are concerns regarding safety or welfare.

All safeguarding matters are managed in accordance with UK safeguarding legislation and guidance.

5. Behaviour and Conduct

Roots & Rhythm aims to maintain a safe, respectful and supportive environment.

We reserve the right to suspend or terminate participation where behaviour:

  • places others at risk;

  • is abusive, threatening or unsafe;

  • seriously disrupts programmes or activities;

  • or breaches safeguarding expectations.

Where appropriate, restorative and relational approaches will be prioritised.

6. Attendance and Participation

Participants, schools and parents/carers are expected to:

  • attend sessions punctually;

  • provide reasonable notice for absences;

  • communicate relevant information affecting participation;

  • engage respectfully with staff and other participants.

Repeated non-attendance or disengagement may result in review or withdrawal from services.

7. Bookings and Cancellations

Where consultations, assessments, sessions or workshops are booked:

More than 48 hours notice

Bookings may usually be cancelled or rescheduled without charge.

Less than 48 hours notice

Roots & Rhythm reserves the right to retain deposits or charge cancellation fees.

Non-attendance

Failure to attend without notice may result in charges or cancellation of future bookings.

8. Fees and Payments

Where fees apply:

  • payment terms will be agreed in advance;

  • invoices must be paid within the stated payment period;

  • late payments may result in suspension of services.

Roots & Rhythm reserves the right to amend fees with reasonable notice.

9. Outdoor and Practical Activities

Some activities may involve:

  • outdoor environments;

  • practical equipment;

  • horticulture or land-based learning;

  • music equipment;

  • physical or vocational tasks.

Appropriate risk assessments and supervision will be in place. Participants are expected to follow safety instructions at all times.

10. Medical, Wellbeing and Additional Needs

Relevant medical, behavioural, wellbeing or support information must be disclosed where necessary to support safe participation.

Failure to provide accurate or relevant information may affect suitability for participation.

Roots & Rhythm is not a medical or emergency service provider.

11. Photography and Media

Photographs, videos or media content will only be used:

  • with appropriate consent;

  • in accordance with safeguarding and privacy expectations.

Consent may be withdrawn at any time.

12. Intellectual Property

All Roots & Rhythm branding, materials, resources and Website content remain the intellectual property of Roots & Rhythm unless otherwise stated.

Materials may not be reproduced or distributed without written permission.

13. Limitation of Liability

To the fullest extent permitted by law, Roots & Rhythm shall not be liable for:

  • indirect or consequential losses;

  • interruptions to services caused by circumstances beyond reasonable control;

  • third-party failures;

  • or losses arising from inaccurate information provided by users.

Nothing in these Terms excludes liability which cannot legally be excluded under UK law.

14. Privacy and Data Protection

Personal information is handled in accordance with our Privacy Policy and UK data protection law.

By engaging with our services, you acknowledge that you have read and understood our Privacy Policy.

15. Changes to These Terms

Roots & Rhythm reserves the right to amend these Terms & Conditions at any time.

Updated versions will be published on our Website.

16. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.
